Key takeaways

HR reporting in a small business needs five measures, not fifty: headcount, starters and leavers, turnover rate, absence rate and open vacancies. Calculated the same way each month, they show problems early. Producing the report is routine and outsources well; deciding what to do about the numbers stays with leaders.

  • Track five measures monthly.
  • Use the same definitions every month.
  • Look at 12-month trends, not single months.
  • Report by team where groups are large enough.

Which people measures should a small firm track?

Headcount and full-time equivalents, starters and leavers, turnover rate over the last 12 months, absence rate as a share of working days, and open vacancies with how long each has been open. Together they show whether the team is stable, healthy and staffed.

  • Headcount and FTE.
  • Starters and leavers.
  • 12-month turnover rate.
  • Absence rate.
  • Open vacancies and days open.

How do you calculate turnover and absence consistently?

Turnover rate is leavers in the last 12 months divided by average headcount over the same period. Absence rate is days lost to absence divided by working days available. Write the definitions down, decide whether to include fixed-term contracts and voluntary leavers only, and never change them without noting it.

Why does people reporting outsource well?

It runs monthly on a fixed date, uses data from payroll and absence records, follows written definitions and produces a checkable output. A managed team that already handles HR admin can produce it as a by-product. Interpreting why turnover rose in one team needs the manager's knowledge.

What should you watch out for?

Small numbers. In a team of six, one leaver is a 17% turnover rate, which looks alarming but may mean nothing. Use 12-month figures, report only groups large enough to be meaningful, and be careful not to identify individuals, especially with absence data.

What does this look like in practice?

A pattern we see: owners sense that people are leaving more often but have no numbers. A simple monthly report usually shows the problem is concentrated in one role or team, which makes it much easier to fix.

People report checklist

Agree these before the first report.

  • Five measures and their definitions.
  • Data sources for each measure.
  • Monthly delivery date.
  • Minimum group size for reporting.
  • 12-month trend chart.
  • Short notes on large changes.

Next step

Tell us where your payroll and absence data live. We will suggest a one-page report and say what producing it monthly would take.

Frequently asked questions

What HR reports should a small business produce?

A one-page monthly report covering headcount and full-time equivalents, starters and leavers, 12-month turnover rate, absence rate and open vacancies. These five measures, calculated consistently, show whether the team is stable, healthy and adequately staffed.

How do you calculate staff turnover rate?

Divide the number of leavers in the last 12 months by the average headcount over the same period, and multiply by 100. Decide whether to include only voluntary leavers or all leavers, write the definition down and use it every month.

Can HR reporting be outsourced?

Yes. Producing a monthly people report from payroll and absence data is routine and follows written definitions, so a managed team can run it. Interpreting the numbers and deciding what to do about them should stay with managers and the owner.
