Key takeaways

Absence management outsourcing works as a split. A managed team can run the reporting line, record every absence, collect fit notes, feed payroll and flag patterns against your policy triggers. Return-to-work conversations, welfare support and any capability or disciplinary decisions stay with managers, because they involve judgement about people.

  • Outsource: reporting, recording, fit notes, payroll feed, trigger alerts.
  • Keep: return-to-work talks, welfare and decisions.
  • Record every absence the same day.
  • Use written triggers so alerts are consistent.

Which parts of absence management can be outsourced?

The admin. Taking the first-day call or message, recording the absence, reminding the employee and manager of next steps, collecting fit notes after seven calendar days, updating payroll for Statutory Sick Pay, and alerting managers when an absence pattern meets a policy trigger. These steps are rule-based and easy to miss in a busy week.

What should managers keep?

The conversations and decisions. Return-to-work meetings, welfare checks, discussing reasonable adjustments, referrals to occupational health and any formal capability process belong to the employer. Acas guidance stresses handling absence fairly and consistently, which depends on managers who know the person and the context.

  • Return-to-work meetings.
  • Welfare and wellbeing support.
  • Reasonable adjustments.
  • Formal capability or disciplinary steps.

How do absence triggers work?

A trigger is a point in your absence policy that prompts a review, such as a number of separate absences in a rolling period. Written triggers let a managed team alert the right manager automatically and consistently. The alert prompts a conversation, never an automatic sanction, and managers should consider disability and other circumstances before acting.

What data rules apply to absence records?

Sickness details are health data, which is special category data under UK GDPR. Record only what is needed, limit access, and make sure your processor contract covers it. The ICO's employment guidance sets out how employers should handle this information.

What does this look like in practice?

A pattern we see: in small firms, absences are recorded inconsistently, so patterns go unnoticed until they become a problem. Same-day recording with written triggers makes conversations happen earlier and more fairly.

Frequently asked questions

Can absence management be outsourced?

The admin can: taking absence reports, recording them, collecting fit notes, updating payroll and alerting managers when a policy trigger is met. Return-to-work meetings, welfare support, reasonable adjustments and any formal decisions should stay with managers, who know the employee and the context.

When does an employee need a fit note?

Employees can self-certify for the first seven calendar days of sickness. After that, employers can ask for a fit note from a GP or other approved healthcare professional to support the absence and any Statutory Sick Pay claim.

Is sickness absence data special category data?

Yes. Information about an employee's health is special category data under UK GDPR. Employers should record only what is necessary, restrict who can see it, and make sure any provider handling it is covered by a processor contract with appropriate safeguards.
