Key takeaways

Data enrichment means adding missing details to records you already hold, such as company size, sector, website, role or correct address, from reliable sources. It makes segmentation, routing and follow-up work. It is repetitive and rule-based, so it suits a dedicated team, but it must respect UK GDPR's accuracy and transparency rules.

  • Enrich only the fields you will actually use.
  • Record the source and date for each enriched field.
  • Prefer public, primary sources such as Companies House.
  • UK GDPR accuracy and transparency rules still apply.

What is data enrichment?

Data enrichment is the process of completing and improving existing records by adding verified information from other sources. For a B2B firm that might be a company's registered number, sector and size; for a consumer business, a corrected postcode. It differs from cleansing, which removes duplicates and errors, though the two are often done together.

Which fields are worth enriching?

Enrich only fields that change what you do: who gets routed where, which segment receives which message, or which accounts get a call. A field nobody uses is cost without benefit, and under UK GDPR you should not collect personal data you do not need.

  • Company number, sector and size for B2B segmentation.
  • Website and main phone for routing and research.
  • Decision-maker role, where you have a lawful basis.
  • Corrected addresses for delivery and billing.

What does enrichment take?

In an illustrative example, enriching 2,000 B2B records with company number, sector and website at about 2 minutes each takes around 67 hours. At an indicative managed offshore rate of £9–£18 an hour, that is about £600–£1,200 as a project, then a smaller weekly routine for new records. These are example figures, not GBL prices.

What does UK GDPR require?

Personal data must be accurate and, where necessary, kept up to date, and you need a lawful basis for processing it. If you obtain personal data from sources other than the individual, you generally have to tell them within a reasonable period. Record where each enriched field came from, so you can answer questions and correct errors.

What does this look like in practice?

A pattern we see: a business buys a contact list to fill gaps, then finds much of it is out of date or unusable. Enriching your own records from primary sources is slower but gives data you can rely on and defend.

Data enrichment checklist

Check these before starting.

  • Fields chosen by how they will be used.
  • Lawful basis recorded for personal data.
  • Approved sources listed.
  • Source and date stored with each field.
  • A weekly routine for new records.

Frequently asked questions

What is data enrichment in a CRM?

Data enrichment in a CRM means adding missing or better information to the records you already hold, such as company number, sector, website or corrected address, from reliable sources. It improves segmentation, routing and follow-up, and is often done alongside removing duplicates and errors.

Is data enrichment legal under UK GDPR?

It can be, if you have a lawful basis, only add data you need, keep it accurate and tell individuals where you obtained their personal data from other sources, as UK GDPR generally requires. Business data such as company numbers is less sensitive, but personal data about named contacts is covered.

Can data enrichment be outsourced?

Yes. It is repetitive and rule-based, so a managed team can research and update records from approved sources, recording the source and date for each field. Agree the fields, sources and lawful basis in advance, and put a processor contract in place.
