Key takeaways
Contract administration in a small business means knowing what you have signed, when each contract renews or ends, what notice is needed and what you have promised. A simple contract register with reminders set well before each notice date stops unwanted auto-renewals and missed obligations. A managed team can keep the register and send the reminders.
- Keep one register of every supplier and customer contract.
- Record renewal dates, notice periods and key obligations.
- Set reminders well before each notice deadline.
- Review the register every quarter.

Chat on WhatsApp →What is contract administration?
Contract administration is the routine work of keeping track of contracts once they are signed: storing them, recording key dates and terms, sending reminders, tracking obligations and checking that both sides deliver. It is different from negotiating contracts, which is a legal and commercial task.
What goes wrong without it?
Without it, software and service contracts auto-renew at higher prices because the notice date passed unnoticed, customer obligations such as service reviews are missed, insurance lapses and nobody can find the signed version when a dispute arises. Each problem is small to prevent and expensive to fix.
- Unwanted auto-renewals.
- Missed notice periods.
- Forgotten service commitments to customers.
- Lapsed insurance or certificates.
- Lost signed copies.
What should a contract register record?
Record the other party, what the contract covers, the start and end dates, the renewal terms, the notice period and how notice must be given, the annual value, key obligations on each side, the internal owner and where the signed copy is stored.
What does it save in numbers?
In an illustrative firm with 40 supplier contracts, two or three a year auto-renew unnoticed, each costing a year of a service no longer wanted. A register with reminders 90 days before each notice date prevents most of them, and the quarterly review takes about an hour. Example figures only.

Chat on WhatsApp →What can be handed over?
A managed team can build and maintain the register, extract key dates from signed contracts, send reminders to owners, chase renewed certificates and keep the document store tidy. Decisions to renew, renegotiate or terminate, and any legal interpretation, stay with you and your advisers.
When is a formal register overkill?
For a business with a handful of contracts, a calendar reminder for each notice date may be enough. Move to a register once you have more than you can recall, or more than one person signs contracts.
What does this look like in practice?
A pattern we see: contracts are signed by different people and saved in their own folders, so nobody knows what renews when. Pulling them into one register usually turns up at least one subscription the business no longer uses.

Frequently asked questions
What is contract administration?
Contract administration is keeping track of signed contracts: storing them, recording key dates and terms, sending renewal and notice reminders, tracking obligations and making sure both sides deliver. It is separate from negotiating or drafting contracts.
How do you keep track of contract renewals?
Keep a contract register with each contract's end date, renewal terms and notice period, and set reminders well before each notice deadline, for example 90 days. Name an internal owner for each contract and review the register every quarter.
Can contract administration be outsourced?
The routine parts can: building the register, extracting key dates, sending reminders and maintaining the document store. Decisions about renewing or ending contracts, and any legal interpretation, should stay with you and your advisers.
