Key takeaways

The wholesaler admin tasks to outsource are high-volume and rule-based: entering orders from email and PDFs, updating price files, setting up trade accounts, answering delivery and stock queries, and routine credit control. Buying, pricing decisions, credit limits and key customer relationships stay inside. Order entry is often the biggest single block.

  • Move: order entry, price file updates, account setup, queries.
  • Move: routine credit control reminders.
  • Keep: buying, pricing, credit limits, key accounts.
  • Orders entered overnight are ready for morning picking.

Why is wholesale admin so heavy?

Wholesalers handle many small orders from many trade customers, often by email, PDF or phone rather than a portal. Each order is re-keyed, each price change updated in several places, and each account checked. Volumes spike seasonally, and the office team becomes the bottleneck between order and dispatch.

Which tasks usually move?

These are frequent and checkable.

  • Entering orders from email, PDF and spreadsheets.
  • Updating supplier and customer price files.
  • Setting up new trade accounts to a checklist.
  • Answering stock and delivery status queries.
  • Sending statements and payment reminders.
  • Processing returns and credit notes to policy.

What must stay inside?

Buying decisions, customer pricing and discounts, credit limits and the relationships with your largest accounts stay with your team. Outside staff can apply prices and terms from approved lists, but not set them. Physical picking, packing and dispatch obviously stay in the warehouse.

What does this look like in practice?

A pattern we see: a distributor's sales office starts each day entering the previous evening's emailed orders. An overnight team enters and checks them before the UK day starts, so picking begins on time and sales staff spend mornings on calls.

Wholesale admin checklist

  • Count orders by channel and format.
  • Screen order entry and price updates.
  • Write rules for account setup and returns.
  • Keep pricing, credit and buying inside.
  • Set an order entry cut-off for picking.

Next step

Count last week's orders by how they arrived. Every order re-keyed from email or PDF is part of a candidate task.

Frequently asked questions

What admin can a wholesaler outsource?

Order entry from email and PDFs, price file updates, trade account setup, stock and delivery queries, statements and payment reminders, and returns processing to policy. Buying, pricing, credit limits and key account relationships should stay with the wholesaler's own team.

Can orders be entered overnight?

Yes. A team in a time zone ahead of the UK can enter and check orders received the previous evening, flagging exceptions, so they are ready for picking at the start of the UK day. Agree a cut-off time and an exceptions route.

Should we move customers to an ordering portal instead?

Where customers will use it, a portal removes re-keying entirely. Many trade customers still email orders, though, so most wholesalers run both: a portal for those who adopt it and outsourced entry for the rest.
