Key takeaways

Warranty claims admin covers logging each claim, checking it is within cover, collecting photos or serial numbers, arranging repair, replacement or refund and, where you can, claiming the cost back from the manufacturer. The steps repeat for every claim, so a written method and a dedicated team resolve claims faster and recover more from suppliers.

  • Log every claim with a reference and evidence.
  • Check cover against the warranty and statutory rights.
  • Claim back from the manufacturer wherever terms allow.
  • Disputed and high-value claims are referred.

What does warranty claims admin involve?

It involves receiving the claim, confirming the purchase and serial number, checking the fault is within the warranty terms, gathering photos or diagnostic notes, deciding the remedy within rules and arranging it. A warranty sits alongside the customer's statutory rights under the Consumer Rights Act 2015, which it cannot reduce.

Where do businesses lose money on warranties?

They lose money by not claiming back. Many manufacturers reimburse parts or labour under their own warranty, but only with a complete claim submitted on time. When claims admin is squeezed into spare moments, supplier claims are the first thing dropped.

  • Supplier claims not submitted within the deadline.
  • Missing serial numbers or proof of purchase.
  • Repairs done outside warranty that could have been covered.
  • Duplicate claims and lost paperwork.

What does a claims routine recover?

In an illustrative example, a retailer handles 40 warranty claims a month and recovers costs from manufacturers on only half the eligible ones. Submitting the rest, at an average of £60 each, recovers about £1,200 a month. These are example figures. A routine that files supplier claims the day a customer claim closes captures most of it.

When should claims stay in-house?

Keep claims in-house when diagnosis needs a technician on site, or when the product is complex enough that each claim is a technical judgement. The team can still log, chase and file paperwork around the technician. Disputed claims and goodwill decisions should stay with a named person.

What does this look like in practice?

A pattern we see: customer claims are resolved well, but supplier claims are never filed because nobody owns them. Adding the supplier claim as the last step of the customer routine changes that.

  • Every claim logged with a reference.
  • Proof of purchase and serial number captured.
  • Cover checked against terms and statutory rights.
  • Remedy chosen by written rule.
  • Supplier claim filed before the claim closes.

Frequently asked questions

How do you handle a warranty claim?

Log the claim, confirm the purchase and serial number, check the fault is covered by the warranty and the customer's statutory rights, gather evidence, choose the remedy by written rule and arrange it. Then claim back from the manufacturer where their terms allow.

Does a warranty replace consumer rights?

No. A warranty is in addition to the customer's statutory rights under the Consumer Rights Act 2015, such as the right for goods to be of satisfactory quality. A warranty cannot remove those rights, so check both when handling a claim.

Can warranty claims admin be outsourced?

Yes. A managed team can log claims, gather evidence, check cover against written rules, arrange standard remedies and file supplier claims. Technical diagnosis, disputes and goodwill decisions are better kept with your technicians and managers.
