Review your task list every quarter, not once

Key takeaways

Revisit your task list for outsourcing every quarter, because the business keeps changing: new tasks appear, roles shift, systems change and kept tasks become ready. A one-hour quarterly review of the candidate register checks live handovers, re-screens changed tasks, adds new ones and picks the next one or two to move.

  • Review every quarter, about 1 hour.
  • Check live handovers against their baseline.
  • Re-screen tasks whose reason has changed.
  • Add new tasks and pick the next 1 or 2.

Why review rather than finish?

Because task lists go stale. Growth adds new admin, leavers move tasks between people, and software changes remove some tasks while creating others. A task kept last year because it was undocumented may now be written down. Without a review, the business slowly fills back up with suitable work done by the wrong people.

What is on the quarterly agenda?

Keep the review to four short items.

  • 1. Live tasks: compare against baseline; any drift?
  • 2. Changes: roles, systems or volumes that changed this quarter.
  • 3. Re-screen: kept or fix rows whose reason no longer holds.
  • 4. Next: pick one or two tasks for the coming quarter.

What triggers a review between quarters?

Some events justify a review straight away: someone resigning, a new system going live, a big new contract, or a role being advertised. Each changes the task picture, and each is a chance to move suitable work before it lands on someone by default.

What does this look like in practice?

A pattern we see: a quarterly review finds a new weekly compliance report created after a contract win, two kept tasks now documented, and one live task with rising corrections. The team fixes the drift, adds the report to the shortlist and moves one documented task.

Quarterly review checklist

  • Book an hour each quarter.
  • Check live tasks against their baseline.
  • Record changes in roles, systems and volumes.
  • Re-screen rows whose reasons have changed.
  • Pick the next one or two tasks.

Next step

Put four one-hour reviews in the diary for the next year now. Fixed dates are the only way reviews actually happen.

Frequently asked questions

How often should I review tasks for outsourcing?

Every quarter, plus whenever something significant changes, such as a resignation, a new system or a large new contract. A quarterly review of your candidate register usually takes about an hour once the register exists.

What should a quarterly task review cover?

Four things: how live outsourced tasks are performing against their baseline, what changed in roles, systems and volumes, which kept tasks should be re-screened, and which one or two tasks to move next.

What if nothing new comes up in a review?

That is useful too. It confirms live tasks are stable and the boundaries are right. Keep the review short, and use any spare time to fix the weakest live task or document a kept one so it becomes a candidate later.
