Key takeaways

Outsourced appointment booking means a managed team takes booking requests by phone, WhatsApp, email and chat, books them into your diary using your rules, sends confirmations and reminders, and handles rescheduling. It suits clinics, garages, trades and service firms where the diary is the business.

  • Book on the first contact wherever possible; call-backs lose bookings.
  • Write booking rules: job types, durations, travel buffers and who can do what.
  • Send a confirmation at booking and a reminder the day before.
  • Managed offshore booking teams typically cost £9–£18 per hour.
  • Keep pricing exceptions and clinical or technical triage with your staff.

What is outsourced appointment booking?

Outsourced appointment booking is a front-office business process outsourcing (BPO) service in which a provider's team manages your booking diary: taking requests from every channel, booking slots according to written rules, confirming, reminding and rescheduling, and keeping the diary accurate.

It differs from a simple message service because the team books directly. That requires access to your diary or booking system and a clear set of rules about what can be booked, for how long and with whom.

Why do bookings slip through the cracks?

Bookings slip because requests arrive on several channels while the people who could book them are busy doing the work. A caller gets voicemail, a WhatsApp message waits until evening, an email request sits under newer mail. Each delay gives the customer time to book elsewhere.

No-shows are the other leak. Without confirmations and reminders, a share of booked slots go empty.

What does a booking team do?

A booking team runs the diary as a process, so every request is handled the same way.

  • Answer booking calls and messages across all channels.
  • Ask the qualifying questions needed to book the right slot.
  • Book into the diary using job types, durations and buffers.
  • Send confirmations and reminders by text, email or WhatsApp.
  • Reschedule and fill cancellations from a waiting list.
  • Log each booking and its source in your CRM.

What booking rules does the team need?

Write the rules as if for a new receptionist on day one. The more precise they are, the more the team can book without checking with you.

  • Service or job types and how long each takes.
  • Which staff or bays can do which services.
  • Travel time or turnaround buffers between appointments.
  • Lead times: how far ahead bookings open and the latest same-day slot.
  • Deposit, cancellation and no-show policies.
  • What must be escalated, such as urgent or complex cases.

What does outsourced booking cost?

As indicative market ranges, managed offshore booking teams cost around £9–£18 per hour and onshore UK providers around £20–£35. Many small businesses need a part-time seat covering peak hours, with automated online booking for the rest.

An in-house receptionist on the April 2026 National Living Wage costs about £28,309 a year after employer National Insurance and pension, or about £16.27 per worked hour after holiday, and cannot answer two calls at once. The return is measured in bookings won and no-shows avoided.

How do you cut no-shows?

Cut no-shows with confirmations and reminders, easy rescheduling and, where appropriate, deposits. Send a confirmation at booking, a reminder 24 to 48 hours before, and a same-day reminder for early slots. Make it easy to reschedule rather than simply not turn up, and fill the gap from a waiting list.

Reminder messages are service messages, not marketing, but they still involve personal data. Keep them factual and follow your privacy notice.

When should booking stay in-house?

Keep booking in-house if every booking needs a professional judgement, such as clinical triage, or if the diary changes so often that rules cannot keep up. A team can still handle confirmations, reminders and rescheduling, with triage kept by your staff.

What does this look like in practice?

The vehicle service centre on our projects page is a public example: its founder describes price checks turned into diary slots by a contact centre answering in the brand. The same pattern works for clinics, salons and trades, where each answered request is a filled slot rather than a call-back.

  • Give the team diary or booking system access.
  • Set up confirmation and reminder templates.
  • Create a waiting list for cancellations.
  • Define escalations for urgent or complex requests.

Frequently asked questions

Can an outsourced team manage my diary?

Yes, with access to your diary or booking system and written rules for services, durations, buffers and staff. The team books, confirms, reminds and reschedules, and escalates anything outside the rules. Individual logins and limited permissions keep your system secure.

What is the best way to reduce no-shows?

Send a confirmation at booking and a reminder 24 to 48 hours before, make rescheduling easy, and use deposits for high-value or long appointments. A waiting list lets the team fill late cancellations. Track the no-show rate monthly to see what works.

Should I use online booking or a booking team?

Often both. Online booking suits customers who know what they want and are happy to self-serve. A booking team handles calls, messages, complex bookings and customers who want to ask questions first. Many businesses let the team manage the diary that online bookings feed into.

Can a booking team take deposits?

Yes, using a secure payment link sent by text, email or WhatsApp. The team should never take card details verbally or in writing unless your process meets the PCI Data Security Standard. Payment links keep card data out of the conversation entirely.
