Key takeaways
WhatsApp customer service outsourcing means a managed team answers your WhatsApp Business messages during agreed hours, books jobs, answers questions and escalates the rest. It suits UK businesses whose customers already message rather than call, and where WhatsApp sits on the owner's personal phone.
- Move WhatsApp off personal phones onto a shared business inbox first.
- The WhatsApp Business Platform lets several agents answer from one number.
- Free-form replies are allowed within 24 hours of the customer's last message.
- Target a first reply within 15 minutes during staffed hours.
- Managed offshore teams typically cost £9–£18 per hour, onshore £20–£35.

Chat on WhatsApp →What is WhatsApp customer service outsourcing?
WhatsApp customer service outsourcing is a business process outsourcing (BPO) service in which a provider's trained team handles your business WhatsApp conversations, replying in your voice, updating your systems and escalating to your staff according to written rules.
It usually starts with moving WhatsApp from a single phone to a shared inbox tool connected to the WhatsApp Business Platform, so several people can answer from one business number and every conversation is logged.
Why is WhatsApp hard for small teams to manage?
WhatsApp is hard to manage because it usually lives on one person's phone. Messages arrive at all hours, get read and forgotten, and nobody else can see them. When that person is on holiday, the channel goes dark.
Customers treat WhatsApp as instant. A reply the next morning feels slow on a channel built for conversation.
WhatsApp Business app or Business Platform?
The free WhatsApp Business app is designed for a single business on a small number of devices. The WhatsApp Business Platform, accessed through Meta or an approved provider, supports multiple agents, integrations with helpdesks and CRMs, and automated messages. Any team larger than one or two people needs the Platform.
Under the Platform's rules, businesses can send free-form replies within a 24-hour customer service window after the customer's last message. Outside that window, and for business-initiated messages, pre-approved message templates are required. Check Meta's current pricing, which is charged per template message.
- App: free, one business, limited devices, no real team inbox.
- Platform: multiple agents, integrations, automation, template rules and per-message pricing.
What can an outsourced WhatsApp team handle?
A trained team can handle most of what customers use WhatsApp for, following your rules and escalating the rest.
- Pre-sale questions, quotes within set rules and booking requests.
- Order status, delivery updates and simple amendments.
- Appointment confirmations, reminders and rescheduling.
- Collecting photos or documents from customers.
- Logging conversations and creating CRM tasks.
- Escalating complaints and anything commercial to your staff.
What does it cost?
There are two costs: the team and the platform. As indicative market ranges, a managed offshore team costs around £9–£18 per hour and onshore UK providers around £20–£35. Platform costs include the inbox tool subscription and Meta's per-message charges for template messages.
Compare with the alternative: an owner answering at night, or a hire who cannot cover their own holidays. A full-time employee on the April 2026 National Living Wage costs about £16.27 per worked hour after employer National Insurance, pension and holiday, before overheads.

Chat on WhatsApp →What data rules apply to WhatsApp support?
WhatsApp conversations contain personal data, so UK GDPR applies. You need a lawful basis for processing, a privacy notice that mentions WhatsApp, and a processor contract with any outsourcing provider. If the team is outside the UK, a transfer safeguard such as the ICO's International Data Transfer Agreement is required.
For marketing messages, the ICO's rules on electronic marketing apply: you generally need consent to send promotional messages to individuals. Keep service conversations and marketing separate.
When should WhatsApp stay with you?
Keep WhatsApp personal if it is mainly used by a few long-standing clients who expect to talk to the owner, or if volumes are very low. You can still add a team for out-of-hours cover, or for specific message types such as booking requests.
What does this look like in practice?
A pattern we see with trades and hospitality businesses: WhatsApp on the owner's phone, dozens of messages a day, photos of jobs mixed with family chats, and quotes going out days late. Moving to the Business Platform with a shared inbox, then handing daytime cover to a trained team, gets replies out within minutes and makes every conversation searchable.

Frequently asked questions
Can several people answer one WhatsApp Business number?
Yes, through the WhatsApp Business Platform connected to a shared inbox tool. Each agent gets their own login, conversations can be assigned and tagged, and everything is logged. The free WhatsApp Business app is designed for a single business on a small number of devices and is not a real team inbox.
What is the WhatsApp 24-hour rule?
On the WhatsApp Business Platform, a business can send free-form replies within 24 hours of the customer's last message. Outside that window, or when the business starts the conversation, it must use a pre-approved message template, which Meta charges for per message.
How fast should businesses reply on WhatsApp?
Customers expect near-instant replies on messaging apps. During staffed hours, aim for a first reply within 15 minutes, and within a few minutes for booking or pre-sale messages. Outside hours, use an automatic reply that says when someone will respond.
Is WhatsApp GDPR compliant for business use?
Businesses can use WhatsApp in line with UK GDPR, but compliance depends on how you use it: a lawful basis, a privacy notice, sensible retention, access controls and processor contracts. Using personal phones for business WhatsApp makes compliance much harder, which is another reason to move to a business platform.
