Key takeaways

Tasks with a checkable output are those where someone can confirm the work was done right by looking at the result, in a few minutes, without redoing the task. A reconciled account, an updated record or a formatted document is checkable. Advice given on a call is not. If you cannot check a task, you cannot manage it once it moves.

  • Checkable: you can confirm it is right from the result.
  • Quick to check: a few minutes, not a redo.
  • Clear standard: you know what 'right' looks like.
  • No check possible? Add one, or keep the task.

Why does checkability matter so much?

Because it is how you keep quality without doing the work yourself. With a checkable output, you can sample ten items a week and know the standard is being met. Without one, you either trust blindly or recheck everything, which wipes out the time saved. Checkability is what makes outsourced work manageable.

How do you tell if an output is checkable?

Ask three questions of the finished result.

  • Is there a clear standard: a total that balances, a field filled, a template followed?
  • Can someone check it in under 5 minutes per item?
  • Would a mistake be visible in the output itself?

Can you make a task checkable?

Often, yes. Add a template so the output has a fixed shape. Add a control total, such as invoice count and value, so errors show. Ask for a short log of exceptions handled. For customer contact, use call notes or recordings with a scoring sheet. Each turns a hard-to-check task into one you can sample.

What does this look like in practice?

A pattern we see: 'tidying the CRM' is hard to check because nobody defined tidy. Rewritten as 'every new contact has company, role, source and next action filled', it becomes checkable with a weekly report of incomplete records, and moves easily.

Checkable output checklist

  • Define what a right result looks like.
  • Make sure a check takes under 5 minutes.
  • Add templates or control totals where needed.
  • Decide who checks, and how many items.
  • Keep tasks you cannot make checkable.

Next step

For each task on your shortlist, write one sentence defining a right result. If you cannot, that task is not ready to move.

Frequently asked questions

What is a checkable output?

A result you can confirm is right by looking at it, quickly, without redoing the task: a balanced reconciliation, a complete record, a document that follows a template. Checkable outputs let you sample outsourced work and keep quality without checking everything yourself.

How much outsourced work should I check?

Check heavily at the start, often every item for the first week or two, then move to a sample once quality is stable. Many firms settle on about 10% of routine items, with full checks on anything high risk or new.

Can customer calls be checked?

Yes, with the right setup. Call notes in a standard format, recordings where lawful and appropriate, and a short scoring sheet for accuracy, tone and next steps let you sample calls. Without one of these, phone work is hard to manage once outsourced.
