Key takeaways

Trade show lead follow up is where most event spend is wasted: leads sit in a spreadsheet while the team recovers. A five-day routine fixes it: load leads within 24 hours, send a personal email within two days, call the warmest within five. A managed team can run the routine; sellers take the qualified conversations.

  • Load leads into the CRM within 24 hours.
  • Email every lead within two working days.
  • Call warm leads within five working days.
  • Hand qualified leads to sellers with notes.

Why do trade show leads go cold?

Because follow-up competes with the work that piled up while the team was at the event. Badge scans lose context within days, and visitors meet dozens of exhibitors. The first exhibitor to follow up with something relevant often gets the conversation.

What does a five-day follow-up routine look like?

Day one: load leads and notes into the CRM and grade them hot, warm or cold. Day two: send each a personal email referencing the conversation. Days three to five: call hot and warm leads, qualify them against set questions and book meetings with sellers. Cold leads go into a nurture sequence if they agreed to marketing.

  • Day 1: load and grade leads.
  • Day 2: personal email to all.
  • Days 3 to 5: calls to hot and warm leads.
  • Book meetings and hand over notes.

What rules apply to event contacts?

Collecting a business card or badge scan does not by itself give consent for marketing emails to individuals. A personal follow-up about the conversation you had is usually fine; adding someone to a marketing list needs consent or another lawful route under PECR and UK GDPR. Ask at the stand and record what was agreed.

When should follow-up stay with your sellers?

When there are only a handful of high-value leads, sellers should call them directly. A managed team adds most value when there are dozens or hundreds of leads, or when sellers are travelling and cannot follow up quickly.

What does this look like in practice?

A pattern we see: event leads are worked properly for the first week of a new quarter and abandoned after. Running follow-up as a process with deadlines, not a good intention, protects the event budget.

Prepare these before the event.

  • Lead capture form with notes and consent.
  • Grading rules: hot, warm, cold.
  • Email templates ready to personalise.
  • Qualifying questions for calls.
  • Sellers' diaries open for bookings.
  • Report on leads, meetings and deals.

Frequently asked questions

How soon should you follow up trade show leads?

Load leads into your CRM within 24 hours, email every lead within two working days, and call the warmest within five working days. Visitors meet many exhibitors, and the first relevant follow-up often wins the conversation.

Can you email people whose badges you scanned at an event?

A personal follow-up about the conversation you had is usually acceptable. Adding individuals to a marketing list needs consent or another lawful route under PECR and UK GDPR. Ask at the stand whether they want marketing, and record the answer with the lead.

Can trade show follow-up be outsourced?

Yes. Loading and grading leads, sending personalised emails, making qualifying calls and booking meetings with sellers can be run by a managed team to set deadlines. Sellers then handle the qualified conversations and the selling.
