Key takeaways

Sales progression is the routine of moving an agreed property sale to completion: sending the memorandum of sale, then chasing solicitors, lenders, surveyors and the chain every week and updating buyers and sellers. It is repetitive, deadline-driven and the main lever on fall-throughs and time to completion. A dedicated progressor keeps every file moving.

  • Memorandum of sale out within 24 hours of agreement.
  • Every party chased on a weekly cycle.
  • Buyers and sellers updated every week.
  • Chain problems escalated to the negotiator early.

What does sales progression involve?

It involves confirming the sale in a memorandum, checking each side has instructed solicitors, tracking searches, survey and mortgage offer, chasing enquiries, monitoring the chain, updating everyone weekly and helping agree exchange and completion dates. Agents earn their fee on completion, so every week saved matters.

What does a weekly progression cycle look like?

Each live sale gets the same weekly touches, recorded in the file. The routine spots stalls early, such as a survey not booked or a mortgage offer delayed, while there is still time to fix them.

  • Check solicitor milestones on both sides.
  • Confirm survey and mortgage offer status.
  • Check the rest of the chain.
  • Update buyer and seller with next steps.
  • Escalate stalls to the negotiator.

What does progression take?

In an illustrative example, an agency with 45 sales in progress needs about 20 to 30 minutes per sale a week for chasing and updates, roughly 15 to 22 hours. These are example figures. When negotiators do it, those are hours not spent on valuations and new instructions.

What must stay with the negotiator?

Renegotiations after a down-valuation, handling a buyer who wants to withdraw and conversations that need the relationship should stay with the negotiator. Estate agents are also supervised for anti-money laundering by HMRC, so buyer checks follow your firm's AML policy.

What does this look like in practice?

A pattern we see: sales stall for weeks on a missing document nobody chased. A weekly progression call to every party finds those gaps while they are small.

Frequently asked questions

What does a sales progressor do?

A sales progressor takes an agreed property sale through to completion: sending the memorandum of sale, chasing solicitors, lenders and surveyors, checking the chain, updating buyers and sellers weekly and escalating problems to the negotiator. The aim is fewer fall-throughs and faster completions.

How often should sales progression updates happen?

Weekly is the usual standard: every party chased and every buyer and seller updated at least once a week, with more frequent contact near exchange. Regular updates reduce incoming calls and help spot stalls early enough to fix them.

Can estate agents outsource sales progression?

Yes. Sales progression is a repetitive, deadline-driven routine that suits a dedicated team with access to your property software. Renegotiations and difficult conversations are better left with the negotiator, and buyer checks should follow your AML policy.
