What is a set-up fee?

A set-up fee is a one-off payment at the start of an agency relationship that covers the work needed before regular publishing begins. It is also called an onboarding fee. It sits outside the monthly fee and is usually invoiced with the first month.

What work does onboarding involve?

Onboarding covers everything that only happens once: gaining access, auditing the accounts, agreeing goals, writing a short strategy and voice guide, building templates and setting up tracking. Done properly it takes 8 to 20 hours, depending on how many channels and how much tidying is needed.

When should you challenge a set-up fee?

Challenge it when the proposal does not say what the fee buys, when the agency sets up accounts in its own name, or when the fee is high and there is also a long minimum term. One or the other can be fair. Both together means you carry all the risk.

Is no set-up fee always better?

No. An agency that charges nothing for onboarding either absorbs the cost, ties you into a term, or skips the work. Skipped onboarding is the expensive option: content starts without goals or tracking, and three months later nobody can say whether it worked.

How long does onboarding take?

Onboarding usually takes one to three weeks from signing to the first scheduled post. The speed depends mostly on you: how quickly access is granted, brand files are sent and the plan is approved. Delays in access are the commonest reason a first month under-delivers.
